Services Scheduler (VIC)

As such we are seeking applications from driven and competent Services Schedulers to join our talented team.

We currently have an exciting opportunity for an experienced Services Scheduler to work with our Victoria Resolve FM Division. This will be a challenging and rewarding role which forms an integral part of our Victorian business.

Reporting to the Contract Manager this role will be based in Box Hill/Ringwood and will support the service operations and be responsible for scheduling and co-ordinating Technicians in response to customer requirements and contractual conditions.

The primary responsibilities of this role will include, but not limited to:

·       Providing high level administrative support to the Contract Manager, Team Leaders/ Supervisors and Technicians.
·       Schedule and co-ordinate Technicians in response to the day to day customer requirements and contractual obligations.
·       Issue scheduled work orders to supervisors.
·       Customer contact, including logging and escalation of customer issues.
·       Process purchase orders in Pronto as required.
·       Being an integral link in the effective running and functioning of the branch office, systems and processes.
·       Payroll - collation and data entry of weekly field service staff timesheets and pay data including timesheet entry and review.
·       To provide backup capabilities for other Schedulers and Admin roles as required.
·       Update and maintain all contract data in Pronto.
·       Maintain/Record all licenses requirements (regulatory) for the business.
·       Managing Work in Progress and Invoicing.
·       Managing outstanding calls.
·       Maintaining databases.
·       Generating internal and external reports.
·       To work closely with Accounts Receivable to resolve issues with customer accounts and issue credits in accordance with Company procedures.
·       Various general administrative tasks.

 To be considered for this role you will possess the following experience and personal qualities:

·        A minimum of two years’ previous experience in a similar role within a maintenance based company or organisation (an advantage).
·        Demonstrated experience in planning and scheduling of tasks.
·        An excellent phone manner.
·        Above-average written, verbal and numeric skills.
·        Exceptional customer service skills.
·        An intermediate level of the MS Office suite of products.
·        Exposure to, and dealing with, confidential and commercially sensitive information.
·        Advanced data entry skills
·        Proven history of working in a fast-paced office environment.
·        Strong problem solving and analytical skills.
·        The ability and willingness to learn new software packages.
·        A basic understanding of financial and business principles.
·        A formal qualification in either business or administration is desirable but not essential.
·        Capability to operate autonomously and with other staff as required.
·        Ability to work with minimum supervision and able to excel under pressure.
·        Excellent time management and organisational skills.
·        Ability to juggle multiple tasks.
·        A positive and flexible approach.
·        A basic understanding of financial and business principles.
