Reporting to the Service Manager you will provide administrative support in the day to day running of the technical service and installation teams.  This will involve liaising with a variety of internal and external customers.  Responsibilities include financial administrative duties like invoicing, cost allocation and processing data onto the various systems.
 

The primary responsibilities of these roles will include, but are not limited to:


 
•Providing efficient day to day administrative support to the Auckland Service team
•Handling customer enquiries in a prompt and proactive manner, promoting the division’s service capabilities
•Job registration into the system and job allocation to technicians, escalation of job variations to the Service Manager
•Assist to ensure all maintenance and rectification works are quoted and completed in a timely manner
•Other administrative tasks including collating job sheets, invoicing, raising purchase orders and filing
•Follow up on outstanding payments from the Service customers
•Collating the weekly service team’s time sheets.
•Provide backup for the team as required
 

To be considered for this role you will possess the following experience and personal qualities:


 
•Previous administrative experience, minimum two years within a maintenance based company
•Customer service focus, ability to respond to customer queries in a prompt manner
•Ability to communicate effectively across both external and internal customers, good listening skills
•Capability to work alone and as part of the team as required, good organisational and time management skills
•A basic understanding of financial and business principles, attention to detail and accuracy
•Microsoft Office Suite (intermediate level), knowledge of Pronto desirable
•A can do attitude and flexible approach
